The undersigned requests the Orcas Island Lions (the “Club”) to provide the tent(s) and equipment per the order estimate (the “Estimate”) and this Rental Agreement. The Club agrees to transport, install and remove the tent(s) and equipment described on the Estimate. Upon receipt by the Club of this signed Rental Agreement, a Deposit Invoice for one half (1/2) the total rental fee will be issued. The Deposit Invoice is payable upon receipt. The total rental fee covers three (3) days continuous use. The Club reserves the right to cancel, delay or substitute tent installations due to weather (high winds or electrical storms etc) or other extraordinary events that may present a significant risk to lessee, guests or Club personnel. In the event of such cancellation, the Club will refund in full all payments received from the lessee.
The Club will hold a tentative reservation for ten (10) days from the date of issuance of the Deposit Invoice. Payment of the Deposit Invoice must be received and approved by the Club before a confirmation will be issued. Final payment consisting of the rental balance and any additional charges must be paid no later than the date of the scheduled event.
Cancellation of this Rental Agreement must be made in writing and must be received a minimum of thirty (30) days prior to the event date for lessee to receive the deposit’s return in full. No refund of deposit for cancellations will made less than thirty (30) days prior to the event date unless the tent can be re-rented.
Tents are stabilized with guy lines (ropes), staked into the ground, requiring an earthen or soft surface. Installation of a tent on an asphalt or hard surface will be done only with the specific agreement of the Club; such agreement and terms must be established at the time of entering into this Rental Agreement. A power source and extension cords for lighting, must be provided by the lessee. Tables and chairs, if provided, will be stacked neatly at a mutually convenient location on delivery and should be restacked and ready for pickup in the same location and in the same condition as delivered.
Lessee confirms the tent will not be used for driving motor vehicles through or parking beneath, except that vendors may deliver/pick up items. Lessee will not allow adults or children to hang from or climb on tent ropes or poles. Additional charges, determined on a case-by-case basis, will apply for any damage done to the tent or its support members. Lessee also agrees to follow the 2003 International Fire Code, Chapter 24, Tents, Canopies and Other Membrane Structures, as they relate to open flames and flammable materials. Lessee understands that they responsible for obtaining all event permits required by San Juan County prior to the event and insuring that the Lions have the tent permit prior to the Fire Marshalls inspection.
Lessee warrants that I/we have read, understand and agree to the terms and conditions of the Estimate and this Rental Agreement. I/we confirm there will be a representative present at the set-up location when the tent(s) and/or equipment arrive to direct placement.
